Your tasks

As a Team Assistant for Reception and Administration, you’ll serve as a key point of contact for our employees, applicants, guests, and service providers. Together with the team, you’ll ensure that our reception desk is reliably staffed during regular office hours. Your focus will be on well-organized, recurring tasks in the reception and office areas. You’ll work carefully, courteously, and reliably to keep day-to-day administrative operations running smoothly.

Reception and First Point of Contact

  • Staffing our reception desk during office hours
  • Welcoming guests, job applicants, and service providers
  • Answering and transferring phone calls
  • Processing and forwarding general emails and inquiries
  • Managing visitors, meeting rooms, and access cards
  • Processing and distributing incoming and outgoing mail
  • Organizing vacation and sick leave cover for the reception team

Office Organization and Administration

  • Ordering and managing office supplies, beverages, and consumables
  • Maintaining overviews, lists, and contact information
  • Coordinating organizational matters in the office
  • Serving as the point of contact for general questions about the office
  • Filing and maintaining documents in our digital systems, such as Confluence and Seafile
  • Assisting with the organization of team and company events

Support for Finance and HR

  • Assisting with the review and forwarding of incoming invoices
  • Filing and categorizing receipts, credit card statements, and travel expense reports
  • Compiling documents and overviews for accounting and tax consulting
  • Assisting with administrative tasks related to onboarding and offboarding
  • Maintaining contact lists and basic HR overviews
  • Assisting with the administration of employee benefits such as JobTicket, JobRad, and gym memberships
  • Supporting international employees with organizational questions

Additional organizational tasks

  • Assistance with managing inventory, the vehicle fleet, and access permissions
  • Coordination with external service providers, such as cleaning or equipment suppliers
  • Assistance with recurring organizational tasks related to occupational health and safety
  • Maintaining checklists, internal overviews, and brief instructions
  • Following up on feedback and outstanding organizational issues

Your profile

  • Completed business training or initial professional experience in reception, secretarial work, office management, or administration
  • We also welcome career changers with experience in a service-oriented or organizational role
  • A friendly, professional demeanor and a passion for working with people
  • A meticulous and reliable work ethic
  • Strong self-organization skills and the ability to handle routine tasks with confidence
  • Proficiency in standard MS Office applications
  • Willingness to staff the front desk
  • Fluency in German and English
